Interior Construction Project Manager

This position will involve construction project management oversight for several types of construction projects including office, retail, and mixed-use construction upfits and building renovations. This position works closely with internal leasing, property management, operations and security departments.

Responsibilities

  • Support Northwood director of interior construction, office/ retail brokerage teams, and clients in projects and assignments.
  • Responsible for expediting the project(s) through the design and permitting process.
  • Hold, lead and attend meetings as owner’s representative to set expectations and roles for each party at the onset of each project through implementation and completion.
  • Lead project delivery resources/teams, providing project guidance and direction to achieve project goals.
  • Facilitate, document, and communicate all weekly meetings to team.
  • Review and comment on design and construction drawings while ensuring project data/ documentation is accurate, timely, and coordinated.
  • Review and comment on work letters regarding office and retail leasing and RFP’s.
  • Track progress of each project against goals, objectives, approved budgets and approved timelines.
  • Interact, negotiate and manage activities of contractors and subcontractors
  • Prepare/update project status reports, process purchase orders and invoices, update tracking reports and maintain files for due diligence and financials.
  • Assess change requests to determine impacts to scope, budget, schedule, quality and risk.
  • Participate and document project closeout to parties involved including reconciliation of pay apps, lien waivers and final turnover.
  • Maintain familiarity with building codes and best practices.
  • Comply with all company policies and procedures.

Required Qualifications, Education & Experience

Bachelor’s Degree in a related field with 5 years direct relevant experience in Commercial Real Estate Construction/ Development requiredExcellent communication and organizational skills to drive process and implementation without supervision.  Superior customer service, employee and time management skills with a demonstrated ability to complete projects on time and under budget. Computer skills, with a focus on spreadsheet analysis, scheduling, and project databases.  Must be able to abstract data from leases and recognize the impact of contracts to all parties involved.  A background in construction, engineering or architecture is a plus.  Must have advanced knowledge of the following software applications: Microsoft Word, Excel and PowerPoint.

Regional Property Manager

Regional property manager is involved in all aspects of managing a commercial portfolio and provides building owners with Class A real estate management services in accordance with the owner’s goals and objectives. Supervises daily operations of their team as well as working to ensure a smooth transition of newly acquired properties. The regional manager is responsible for maintaining assigned properties in good order and condition by contracting and scheduling necessary repairs and maintenance. Regional Manager will also make recommendations and share innovative ideas to continually improve how our commercial properties are managed along with establishing, developing and maintaining tenant relationships that provide a high level of tenant customer service. He/she will oversee property inspections, prepare monthly management reports and budgets for owners. Regional Manager will be responsible for a portfolio of approximately 2.5M square feet across the US. Regional Manager will be expected to spend approximately 50% time traveling to various properties across the country and assisting with special projects as needed.

PRINCIPAL RESPONSIBILITIES

  • Provide direction, guidance, and work priorities for not only their direct team, but the property management teams and operations maintenance personnel.
  • Lead and ensure smooth transition of newly acquired properties from point of sale through operational transition.
  • Train and instruct all on-site employees to ensure responsibilities, expectations, and company policies are clearly understood.
  • Provide initial training on Northwood Platform policies and procedures and expectations to new property managers both internal and third party.
  • Assume responsibilities for Property Manager as needed across the portfolio.
  • Lead by example, always showing a positive attitude with a customer/company-centric focus in all areas where the Traveling manager is involved.
  • Complete yearly performance reviews for self and direct reports.
  • Delegate tasks as the need arises to ensure that all problems, complaints and requests are taken care of in a timely manner.
  • Interact with the lease administrator, accounting, interior construction, security and leasing and brokerage departments to ensure that all information pertinent to each lease is documented and installed in the property management and accounting systems as stated in each lease.
  • Play an integral part in goal setting and implementation of goals.
  • Work with company departments; accounting, interior construction, leasing and brokerage, security, community/tenant activities, maintenance, energy services, etc. teams to create annual budget for each property within portfolio.
  • Evaluate the performance of properties as they relate to the annual budget and report monthly to property owners.
  • Ensure all property related files are maintained and current.
  • Responsible for property related insurance claims to include follow up on these claims.
  • Responsible for insuring that all rental monies and other fees due under the lease are collected and properly reported.
  • Follow up on delinquencies making every effort to collect delinquent rent.
  • Upon approval, after soliciting, reviewing and analyzing proposals, establish contracts with various vendors.
  • Administer all contracts to ensure that services are being rendered as outlined in the contract.
  • Review and approve property related invoices.
  • Direct maintenance personnel in supply purchases and project work.
  • Regularly inspect tenant spaces, vacant spaces, public areas, stairwells, mechanical equipment and grounds to insure these areas are kept clean and grounds are maintained.
  • Meet with vendor representatives regularly to discuss problems/concerns.
  • Establish relationship with each tenant and visit each tenant on a regular basis or as the need arises.
  • Provide input to annual goal discussion meetings and work with director to monitor progress by establishing and completing measurable written goals and objectives for team.
  • Assist director in evaluating department’s performance on an approved basis by issuing surveys while striving for related industry awards through IREM, BOMA, etc.
  • Manage ownership expectations thinking like an owner when managing portfolio and strive to maximize value for the assets.
  • Work with director to foster ownership communication related to portfolio needs and performance.
  • Traveling manager shall be a source of support and be a mentor to other team members when issues arise, and global items need to be coordinated within the department.
  • Mentor less experienced property managers by coaching, motivating and training as needed.
  • Focus on the experience of our shared customers/tenants and how the department can improve in delivering excellent service to all.
  • Build meaningful relationships with tenants in portfolio and understand the needs and wants of our customers.
  • Serve as liaison between property management team members, other company departments; accounting, development, interior construction, security, graphics, IT, tenant activities, operations, etc.
  • Conduct quarterly, or more frequent, update meetings with energy services/operations, tenant services, interior construction, and security to build team communication and address any areas of concern. Hold these supporting departments accountable for meeting deadlines and expectations that affect their team’s performance. (lease projections, interior construction (TI) cost trends)
  • Ensure team consistently cross-trains and follows processes established by process improvement manager. Provide recommendations to add, remove or alter current procedures and/or policy.
  • Assist EVP with overall department management through the development and implementation of policies and programs, coordination of information flow and property management strategy.
  • Perform competition inspections for best practice generation, research competitive set for innovative ideas and strengths/weaknesses.
  • Involvement in community and industry organization in a leadership capacity (committee member, board member).

 

REQUIRED QUALIFICATIONS, EDUCATION & EXPERIENCE

Candidate must primarily have a positive attitude, be a consummate team player, flexible and self-motivated. Candidate must have a four-year bachelor’s degree and a minimum of eight years’ experience as a property manager in commercial real estate management, CPM designation a plus.  In addition, candidate must be competent in the Microsoft Office packages to include Outlook, Word and Excel. The individual must also demonstrate excellent organizational and time management skills along with excellent oral and written communication skills.  Experience in database management and maintenance also a plus. The candidate must be able to pass a drug screen and background check.
